Next Actions

Next Action™ gives an active lead one clear piece of follow-up work: what needs to happen, who owns it, and when it is due. LeadBox keeps the current open action visible on the lead while completed and cancelled action history remains available in the Timeline.

What this area is for

Use a next action when a lead needs a specific follow-up step rather than a general note.

Examples include:

  • send a proposal
  • call after an internal review
  • arrange a meeting
  • review information from the lead
  • complete another clearly defined follow-up task

Where to go in the app

Open Pipeline -> Leads and select a lead.

In the lead drawer, find the Next action section.

Use Actions in the main navigation when you want to review open work across leads.

How next actions work

LeadBox exposes one primary open next action per lead.

The current action can include:

  • a required title
  • a type: Email, Call, Meeting, Review, or Other
  • an active workspace member as assignee
  • a required due date
  • an optional due time
  • the workspace timezone used for scheduling and display

When an action is completed or cancelled, it leaves the open state and remains visible through the lead Timeline. An active lead can then receive a new next action.

Create a next action

When the lead has no open action, the section shows No next action.

Select Add next action, then complete the required fields:

  1. Enter a clear title that describes the work.
  2. Choose the action type.
  3. Select an eligible active workspace member.
  4. Choose the due date.
  5. Add a time only when the action must happen at a specific time.
  6. Review the workspace timezone shown beside the scheduling fields.

Save the action to make it visible on the lead and in the relevant Actions queue.

Manage the current action

The open action shows its title, type, assignee, due date, optional time, workspace timezone, and current due state.

Available controls are:

  • Complete when the work is finished
  • Edit to change the title or type
  • Reschedule to change the due date or time
  • Reassign to choose another active workspace member
  • Cancel when the action should leave the open workflow without being marked complete

Cancelling requires confirmation.

If the current assignee becomes inactive or is removed, LeadBox keeps the action visible and marks it as requiring reassignment. Select Reassign and choose an eligible active member.

Due dates and overdue status

Date and time are interpreted using the workspace timezone.

A date-only action becomes overdue only after its due date has passed in that workspace timezone. It is not treated as overdue during the due date itself.

An action with a specific time becomes overdue after that time has passed.

LeadBox uses the visible states Overdue, Due today, and Upcoming to help users understand what needs attention first.

Assignment notification behavior

Creating or reassigning a next action can emit the Next action assigned trigger event.

An assignment email is attempted only when all of the following are true:

  • a matching trigger is active
  • the trigger uses the existing Notify Owner action
  • a valid applicable system template is configured

Saving or reassigning the action does not guarantee that an email was delivered. A successful action update remains successful even when downstream notification processing does not send an email.

Current V1 boundaries

Next Actions currently do not include:

  • recurring actions
  • scheduled reminder rules
  • automatic Create Next Action triggers
  • task dependencies
  • calendar synchronization
